Japan Visa Walk-In Service Ends in Four Indian Cities From March 2, 2026
India-bound travellers planning a visit to Japan will need to adjust their visa application plans following a procedural update that takes effect from March 2, 2026. The option to submit visa applications without a prior appointment has been discontinued in four key cities, prompting applicants to book their slots in advance before visiting the visa centres.
What’s Changing
Until recently, applicants in Chennai, Hyderabad, Kochi and Puducherry could walk into the Japan visa application centres operated by VFS Global and submit their documents on the same day. That option will no longer be available from March 2 onwards. Starting then, all applicants in these cities must schedule an appointment online before visiting the Visa Application Centre (VAC).
This change was announced by VFS Global on February 21, 2026 as part of an effort to make the application process more structured and efficient. The embassy still oversees final visa decisions, but applications in these four locations will now strictly follow the appointment-based system.
Why the Shift Matters
The walk-in system had been widely used for years, particularly by those planning last-minute trips. With this shift:
- Applicants must book an appointment in advance through the official VFS Global portal.
- Visa submissions cannot be accepted outside the scheduled slot, reducing overcrowding and wait times at VACs.
- The change aims to make the overall process smoother and better organised, especially during busy travel periods.
How to Apply Now
If you’re planning a trip to Japan and live in one of the affected cities, here’s what you need to do:
- Visit the official VFS Global Japan visa portal and select your VAC location.
- Choose a convenient date and time for your appointment.
- Ensure you have all required documents ready before attending your appointment.
- Attend the VAC on the scheduled date to submit your visa form, supporting documents and pay the applicable fees.
It’s still recommended to apply well in advance of your travel date, as appointment slots can fill up quickly during peak travel months. Standard processing times generally range from five to ten working days after submission, provided your documentation is complete.
Tips for Indian Applicants
- Double-check your documentation before your appointment. Incomplete submissions can lead to delays or rejections.
- Be cautious of unofficial agents or services that ask for extra charges to “guarantee” appointments. Always use the official VFS Global booking tool.
- If you live outside the affected cities, check whether walk-in options are still available at your nearest VFS centre, as the change currently applies only to the four listed locations.
